This Privacy Policy explains how Tagore Global International School, Chala
("the School", "we", "our") collects, uses, and protects information when you use the
Tagore Global ERP mobile application. We are committed to protecting the
privacy of our students, parents, teachers, and staff.
📍 Background Location — Important Disclosure
This app accesses your location in the background
The Tagore Global ERP app requests the ACCESS_BACKGROUND_LOCATION
permission exclusively for drivers. When a driver activates the
live tracking toggle inside the app, the app continues to collect GPS location data
even when the app is minimised or the screen is off.
Why is background location needed?
School buses may go out of mobile range or a driver may lock their screen during the route.
Background location ensures parents can see the live bus position throughout the journey
without the driver having to keep the app open on screen.
- Who is affected: Only staff accounts with the Driver role
- What is collected: GPS coordinates (latitude & longitude) only
- Who can see it: Only parents of students assigned to that driver's route
- When it is collected: Only while the driver's tracking toggle is ON
- How long it is kept: Location data is overwritten every 5 minutes and never archived
- Third parties: Location data is never shared with advertisers or analytics services
🔧 To stop background location access: Open Android Settings → Apps →
Tagore Global ERP → Permissions → Location → change from
"Allow all the time" to "Only while using the app" or "Deny".
Tracking stops immediately.
📋 1. Information We Collect
We collect only the information necessary to provide school management services:
Account information
- Username and password (stored as a secure one-way hash)
- Full name, email address, and phone number (set by school administration)
- Role in the school (student, parent, teacher, staff, driver, etc.)
Academic information (for students)
- Attendance records
- Exam marks and results
- Fee payment history and outstanding dues
- Class, section, and admission number
Location data (drivers only — see Prominent Disclosure above)
- Real-time GPS coordinates while the driver has tracking toggled ON
- The app uses ACCESS_BACKGROUND_LOCATION so location continues to update even when the app is minimised
- Location data is not stored beyond 5 minutes and is never archived
Device information
- Device type and OS version (for troubleshooting only)
- We do not collect advertising IDs or track app usage analytics
🎯 2. How We Use Your Information
All information is used solely for school management purposes:
- Displaying attendance, fee, result, and timetable information to the relevant student or parent
- Allowing teachers to mark attendance and enter exam marks
- Showing live bus location to parents of students on that route
- Sending school notifications and circulars
- Maintaining payroll and leave records for staff
We do not use your data for advertising, marketing, or profiling.
🔒 3. Data Storage & Security
Your data stays on our server
All school data is stored exclusively on the school's own private server at tagorechala.com.
We do not use third-party cloud databases or analytics services. No student or staff data
is sent to external companies.
Security measures we apply:
- All connections are encrypted via HTTPS (SSL/TLS)
- Passwords are hashed using industry-standard bcrypt — we cannot read your password
- Session tokens expire automatically and can be revoked at any time
- Server access is restricted to authorised school IT personnel only
🤝 4. Sharing of Information
We do not sell, rent, or share your personal information with any third party, except:
- Within the school: Teachers see class-level student data; principals and management see school-wide records.
- Parents and students: Parents can view only their own child's data. Students can view their own records only.
- Legal requirement: If required by Indian law or a valid court order, we may disclose necessary information to authorities.
We do not integrate with Facebook, Google Analytics, or any advertising networks.
👦 5. Children's Privacy
The App is used in a school environment and may be accessed by children under 18.
Student accounts are created solely by school administration — children cannot self-register.
We collect only the academic information necessary to run the school. We do not allow
children to share personal content publicly through the App.
If a parent or guardian believes their child's information has been collected inappropriately,
please contact us using the details in Section 8.
🗓 6. Data Retention
- Student records are retained for the duration of enrolment and thereafter as required by educational regulations.
- Staff records are retained for the duration of employment plus the period required by applicable labour laws.
- Driver location data is overwritten every 5 minutes and not archived.
- Deleted accounts are removed from the active system; backup copies are purged within 90 days.
⚖️ 7. Your Rights
You have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — ask us to correct inaccurate information
- Deletion — request deletion of your account (subject to legal retention requirements)
- Portability — receive your data in a structured format upon request
